Cliniko and Xero

Cliniko into Xero, reconciled not retyped

Cliniko already knows who was seen and what was paid. Connected properly, that becomes your accounts without anybody keying it in twice.

What goes wrong without it

A connection that codes badly is worse than none

The integration is easy to switch on and easy to get wrong. Both mistakes produce tidy-looking data that does not agree with your bank.

Payments arriving net of fees Merchant fees netted off the payment, so your income is understated and your GST on purchases is wrong at the same time.
Medicare and private billing merged Both landing in one income account, so you cannot see which part of the practice is actually paying its way.
Invoices duplicated The same appointment arriving from Cliniko and from the bank feed, inflating income until somebody notices.
What you get

A connection you can reconcile against

Payments, merchant fees, refunds and GST each landing in the account you agreed
Medicare and private billing separated, so you can see which part of the practice pays its way
Clinic to Cloud and HealthKit connected the same way where you run them alongside Cliniko
A first synced period reconciled against the bank before we hand it over
Reporting that reflects what the practice actually did, so a report is worth running
Training for whoever runs the file day to day, and support afterwards when a number looks wrong
Diagram of what one payment taken in Cliniko becomes: arriving net of fees, it divides into income, with Medicare and private billing separated, and merchant fees, not netted off the payment
With the fee split out, income is no longer understated.
How it works

Three steps, in this order

1 Decide the mapping before switching on Where payments, fees, refunds and GST should land, agreed before anything is connected. Unpicking it afterwards costs more than doing it once.
2 Connect and run a real period The integration configured, then tested against an actual week so you can see entries arrive in the accounts we agreed.
3 Reconcile before handover We do not leave you with a live connection until the first synced period reconciles against the bank.
Why clinics choose us

What changes in the first month

We work with medical clinics, allied health practices and NDIS providers who run both Cliniko and Xero. Knowing both is what makes the difference between a connection that helps and one that quietly creates work.

Invoices sent automatically Cliniko invoices arrive in Xero on their own, so billing happens faster and nothing is entered twice.
Payments matched as they land Payments taken in Cliniko reconcile against the bank in Xero, instead of being chased and guessed at later.
Reporting that is current Your reports reflect what the practice actually did this month, which is what makes them worth opening.
Fewer errors to find No manual re-entry means fewer mistakes to discover at quarter end, when they cost the most to unpick.
Hours back every week The work that used to be somebody's afternoon happens in the background while the practice sees patients.
Compliance without the scramble GST, BAS and payroll stay aligned through the quarter, so lodgement is a review rather than a reconstruction.
Medical bookkeeping

Your practice manager does not need to be a bookkeeper

In most clinics the books end up with whoever is closest to them, and that is usually the practice manager. They are good at running a practice. Being asked to also be the bookkeeper is how a file drifts, and it is not a fair thing to ask.

The bookkeeping sits with us Reconciliation, supplier bills, payroll and BAS handled by people who do it every day, so your practice manager can run the practice.
Nothing waits on one person When the person who knows the file is on leave, the books do not stop. That is a real risk in a clinic where only one person has ever touched Xero.
You still see everything We teach whoever wants to know how to run and read the reports. Handing the work over is not the same as handing over the visibility.

Questions we answer every week

Questions we are asked most

How long does the connection take to set up? The switching on is quick. The mapping decisions before it are the real work, and getting those right is what stops you unpicking the coding a quarter later.
Will it fix the mess already in my file? No. A connection only controls what arrives from today. Existing duplicates or coding problems are a Tune-Up and Repair job, and it is usually worth doing first.
Do you handle Medicare through this? Yes. Medicare and private billing are separated so you can see which part of the practice is paying its way, rather than one merged income line.
